We are currently seeking a detail-oriented and dedicated Accounting Analyst - Accounts Payable to join our team. In this role, you will report to the Accounting Manager and be responsible for accurately recording AP regular invoices in our system.
Responsibilities:
• Perform Payment Post for Bank Reconciliations (CAD and USD)
• Perform month end reconciliations (Accrued liabilities, Accounts payable and Visa Credit)
• Act as Norming PO system's Administrator
• Process Recurring entries and prepare the accrual journal
• Maintain monthly reporting process for all Managers to review outstanding PO's and additional accruals
• Perform AP recurring entries and maintain the current template
• Ensure invoices are paid within the agreed payment terms including utilities invoices which need to be downloaded from Website
• Support Accounting Manager to perform analysis for month end PL
• Filing invoices on the drive
• Match invoices to the POs, resolve any discrepancies by following up with the vendor and division
• Match Non-PO invoices to contracts
• Ensure all POs have the correct approvals, respecting the limits
• Enter invoices in ACCPAC
• Respond to queries
• Perform a payment run twice a month and process ad hoc payment as requested
• Verify vendors' statements to make sure all the invoices are received
• Verify the amounts and work time hours indicated on agency's invoices
• Track bank transactions and identify wire payments that need to be recorded
• Identify & facilitate process improvement projects to drive efficiency
• Other tasks as assigned
Requirements:
• Minimum 3 years' experience in AP
• Bilingual (English & French) an asset
• Intermediate understanding of Accounting Principles (Debits, Credits)
• Intermediate understanding of Microsoft Software (Outlook, Excel, Word)
• Intermediate understanding of Windows Operating System (File management, Basic trouble shooting for hybrid work)
• Knowledgeable of the principles of ISO9001:2015 standards applicable to assigned functions and role
• Takes accountability and supports team to contribute to the effectiveness of the quality management system
• Team player
• Knowledge of Sage software (important asset)
Knowledge of English is required for this specific position. As PiVAL International deals with partners and vendors across North America and the successful candidate will be required to communicate frequently with them.
